Build a Budget With AI and Find the Bills Worth Cutting
Turn a messy bank export into a real budget, then use AI to spot the subscriptions and fees quietly draining your account.
Most budgeting advice fails at step one: you're supposed to categorize months of spending by hand, and nobody does it. AI is genuinely good at that grunt work. It reads a wall of transactions, sorts them, adds them up, and tells you where the money actually went instead of where you think it went. What it can't do is know your life, so treat it as a very fast bookkeeper, not a financial planner.
Here's a workflow that takes about 30 minutes and gives you something you'll actually use.
First, a word about privacy
You're about to hand a chatbot a list of everything you bought. Before you do, strip out anything you don't need it to see. Your bank export almost certainly includes a full account number or a running balance column. Delete those. The transaction date, description, and amount are all the AI needs to categorize spending.
Use a free consumer account carefully, or better, a plan where your inputs aren't used for training. As of 2026, ChatGPT lets you turn off training in settings, Claude doesn't train on your chats by default, and Gemini has similar controls. None of that makes it wise to paste your mortgage details. Redact first, then upload.
Step 1: Export your transactions
Log into your bank and your main credit card and download the last three months as CSV. Three months matters. One month is noise; you'll miss the annual insurance bill and the quarterly subscription. Most banks put a "Download" or "Export" button near the transaction search. If yours only offers PDF, that's fine too, most AI tools now read PDF statements directly.
Open the CSV, delete the balance and account-number columns, and save it. You now have a clean file of date, description, and amount.
Step 2: Let AI categorize the spending
Upload the file to ChatGPT (its data-analysis feature runs actual code on spreadsheets, so the math is real, not guessed), Claude, or Gemini. Then give it a specific instruction. Vague prompts get vague budgets. Try something like:
"Here are three months of transactions. Categorize every row into: housing, utilities, groceries, restaurants and takeout, transport, subscriptions, shopping, health, and other. Give me a table of total and monthly-average spend per category, sorted highest to lowest. List anything you couldn't confidently categorize so I can label it myself."
The last sentence is the important one. AI will happily guess that "SQ *THE COUNTER" is a restaurant when it's actually your barber. Ask it to flag the unknowns and you'll catch those.
Read the table. This is usually where people get a small shock: the restaurants-and-takeout number, or the subscriptions total. Don't argue with it yet, just look.
Step 3: Hunt for the quiet leaks
Now aim the tool at the stuff that's easy to forget. A good follow-up prompt:
"Find every recurring charge, monthly or annual, that looks like a subscription or membership. List the merchant, the amount, and how often it hits. Include anything that charged once but looks like a free trial that could convert."
This is where AI earns its keep. It will surface the $14.99 you forgot about, the streaming service you meant to cancel in February, the app that quietly went from a free trial to $9 a month. It's common to find $40 to $80 a month of subscriptions you'd genuinely forgotten. That's real money, and cancelling is a two-minute job once you have the list.
Then push it on the fixable bills:
"Based on these transactions, which of my recurring bills are the type people commonly reduce by switching providers, renegotiating, or downgrading? For each, tell me a realistic annual saving range and what I'd have to do."
Insurance, mobile plans, broadband, and gym memberships tend to show up here. The AI can't call your provider, but it can tell you your car insurance renewal is the kind of thing that often drops 15 to 25 percent with a single comparison-site check or a retention-team phone call. Treat the savings numbers as ballpark, not promises.
Step 4: Turn it into a budget you'll follow
Now you have real numbers, build the plan. A prompt that works:
"My take-home pay is [X] per month. Using my actual spending above, build me a monthly budget. Keep my fixed costs, propose realistic targets for the flexible categories rather than crash cuts, and leave room for savings. Show the before and after side by side."
Ask for realistic targets on purpose. If AI cuts your groceries by half you'll blow the budget in week one and quit. A 10 to 15 percent trim on the flexible categories is a plan you can keep.
If you use the 50/30/20 framework (needs, wants, savings), say so and it'll map your spending onto it. If you've never heard of it, ask the AI to explain it in two lines and whether it fits your income. Don't adopt a framework just because a chatbot named one.
What AI gets wrong
It miscategorizes. Amazon shows up as "shopping" when half of it was groceries and dog food. Cash withdrawals are a black hole it can't see into. It will occasionally add a column wrong if you're using a plain chat model without the data-analysis tool, so sanity-check the totals against your own rough sense. If a number looks off, ask it to recompute and show the arithmetic.
It also has no idea that the "pointless" $200 you spend on a hobby is the thing keeping you sane. AI optimizes the spreadsheet; you decide what's worth keeping. When it suggests cutting something that matters to you, cut something else instead.
Keep it running
The one-time cleanup is satisfying, but the value is in repeating it. Once a month, export the new statement, drop it in, and ask: "Compare this month to my budget. Where did I overspend, and by how much? Any new recurring charges since last time?"
Five minutes a month catches the subscription creep before it rebuilds. Save your best prompts in a note so you're not rewriting them each time. The budget isn't the achievement here, the monthly check-in is, and AI is what makes a five-minute check-in actually possible.
